Serial numbered stock items are normally higher
valued than non-serial numbered items and in many cases must be
tracked for warranty purposes. These two reasons alone justify the
need for complete and accurate information on each separate serial
numbered stock item. e-DISTAC provides the ultimate in accountability
over these items with one-on-one inventory control.
The control of these stock items start when the
item is purchased and received from the vendor. The serial number
of each separate item is entered into the system which creates a
master information record. From that point on all activity relating
to a given serial number is recorded in this information record.
Purchasing information such as Purchase Order Number, cost, date
purchased, date received, serial number and vendor numbers are all
recorded. Then, when the item is sold the serial number is recorded
on the Sales Order Entry screen which in turn causes the information
record to be updated with all sales data. If the item is under warranty,
the system automatically sets the warranty period. This information
remains in the system for the life of the warranty or until otherwise
removed.
When a serial numbered item is returned by a
customer, the serial number is again entered on the Sales Order
Entry screen. The system automatically verifies the input serial
number against the master record and checks to insure the item is
still within the warranty period. The defective item is set up to
be returned to the vendor which in turn updates the serial number
master record. Together these entries provide a complete history
from original purchase to warranty expiration or until the item
is returned to the vendor for a claim.
